Version 1.0 · Effective September 2026
Information we collect
- Account information — firm name, your name, work email, phone, password (stored only as a cryptographic hash), and your branding preferences.
- Order and billing information — studies ordered, credits purchased and drawn, invoices and purchase orders. Card details are handled by our payment processor and never stored on our systems.
- Content you upload — traffic video footage, counter files, site information and project notes.
- Usage information — sign-in times, pages visited in the portal, upload and download events, and basic technical data such as browser type and IP address, used for security and for diagnosing problems.
Traffic footage and identifiable individuals
Traffic footage may incidentally capture license plates, vehicles and pedestrians. We do not attempt to identify individuals, do not perform facial recognition, do not read or record license plate numbers, and do not link footage to any individual. Our extraction produces counts and classifications only. Access to raw footage is limited to the staff processing or reviewing that study.
How we use information
To create and administer your account; to process the studies you order; to calculate and communicate delivery dates; to bill you and maintain records; to notify you about your studies, balance and credit expiration; to secure our systems; and to improve our own processing methods using our own data. We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Who we share it with
Only with service providers acting on our instructions and under contract — our payment processor, our cloud storage and hosting providers, and our transactional email provider — and only to the extent needed to deliver the service. We may disclose information where legally required, and we will notify you first unless prohibited from doing so. If our business is ever transferred, your information moves with it under the same commitments.
How long we keep it
Account and billing records are kept as long as your account is active and afterward as required for tax and legal purposes. Footage is retained for ninety days from receipt and then automatically deleted — long enough to request different extractions from the same collection, short enough that we are not holding your clients’ video indefinitely. We email you fourteen days before footage ages out, and you may request deletion earlier at any time with written confirmation. Deliverables remain available for re-download for the life of your account.
Security
Data is encrypted in transit and at rest. Access is limited to personnel who need it, protected by individual credentials. Uploads are isolated per client account. We maintain backups and will notify you without undue delay if a breach affects your data. Our full technical description is on the data handling page.
Your choices and rights
You may access and correct your account information in the portal, request a copy or deletion of your data, and opt out of non-essential email. Depending on your state, you may have additional rights to know, delete, correct or port your personal information, and to appeal a refusal. Requests go to intake@countwelltx.com and we respond within forty-five days. We will not discriminate against you for exercising these rights.
Cookies
We use cookies that are strictly necessary to keep you signed in and to keep the site secure, plus basic aggregate analytics to understand which pages are used. We do not use advertising or cross-site tracking cookies.
Children and location
Our service is for businesses and public agencies, not individuals, and is not directed to anyone under eighteen. We operate in the United States, and information is stored and processed there.
Changes and contact
We will post any update here with a new effective date, and notify you of material changes by email. Questions: intake@countwelltx.com.
